Step-by-Step Guide
Data Collection Overview
We've previously set up a data strategy that schedules four questionnaires to be sent out at 12 PM on the first day of the month, every third month, until ten dispatches are completed.
Alternative Data Collection Methods
You can also collect data directly on a citizen's page, either through an interview-based response or a manual response.
Interview-Based Response
Access the citizen's page, select the questionnaire on the right-top corner, and click "Answer."
A new tab will open where you can input the responses to the questionnaire.
Backdating Responses
If you have collected data previously, you can backdate the response.
Ensure you see the smiley face and "Thank you for your response" message to confirm that the data has been entered into the system. If not, the data has not been saved.
Updating and Viewing Data
Refresh the page in Impactly, select the validated questionnaire you want to view, such as the UCLA-3, and the new score will appear.
Self-produced questionnaires can be viewed in the left corner.
Manual Data Entry Example
Self-created questionnaires can be answered in the same way. In the video, we show this with responding to the self-created questionnaire "Job and employment readiness".
Click "Submit" and see the "Success!" message.
Refresh the page in Impactly to view the entered data.
We can now see data for the self-created questionnaire too.
Event Registration
To make a registration at the individual level, click the button in the bottom left corner and select the registration type.
For event registration, such as a citizen's participation in social activities, choose the relevant type, add a note if needed, and save the data.
Frequency of Data Display
You can choose the frequency at which you want the data displayed: daily, weekly, monthly, quarterly, or yearly.
View a note about the registration, and edit it by clicking the pencil icon if needed, such as correcting a date.
Numerical Registration
For numerical registration, like absence last month or BMI, input the value, for example, BMI of 26.
Multiple registrations can be performed within the data strategy section.
Making bulk registrations
Go to Strategies, and click the three dots next to the relevant registration.
In our video example we choose an event registration
Select "Register," choose the number of participants, and click "Next."
Select the registration date and the status on that date. For instance, if everyone was unemployed on the 20th, set that status.
Adjust individual statuses or registration dates if necessary, and add notes as required.
Finalizing Data Entry
Ensure all participants have a status registration and the appropriate notes have been added.
